Zenith Synapse LLC (“Zenith Synapse,” “we,” “our,” or “us”) provides AI-enabled automation and related professional services. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our websites, communicate with us, or use our services (collectively, the “Services”).
By using our Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
1) Scope & Who This Policy Covers
- Applies to information we collect:
- On zenithsynapse.com and any pages that link to this Policy.
- In email, forms, proposals, contracts, and other electronic communications with us.
- Through service integrations you connect to our automations (e.g., CRMs, help desks, productivity suites).
- Does not apply to third-party websites, apps, or services that we do not control. Their privacy practices are governed by their own policies.
2) Notice at Collection (U.S. state laws including California/CPRA)
We may collect the following categories of personal information for the business and commercial purposes listed below. We retain personal information as described in Section 10.
Categories collected (examples may include):
- Identifiers (name, business email, phone, IP address, cookie IDs, account login).
- Professional/Commercial Info (company, role, purchase history, service interest).
- Internet/Network Activity (pages viewed, referring/exit pages, timestamps, device/browser).
- Geolocation Data (coarse location derived from IP).
- User Content/Inputs (prompts, configuration files, workflow logic, support tickets).
- Inferences (service preferences, estimated interests from site interactions).
Sources: You (forms, emails), your organization, cookies/analytics, public sources, and third-party service providers you connect.
Business/Commercial Purposes: Provide and secure Services; configure automations; fulfill requests; customer support; analytics; improving Services; marketing with your choices; compliance; preventing fraud and misuse.
Disclosure for Business Purposes: We disclose personal information to service providers/contractors (hosting, analytics, email, payment, security) under written contracts restricting use to our instructions. We may also disclose in connection with legal obligations or a business transaction (see Section 6).
“Sale”/“Sharing” (as defined by CPRA): We do not sell personal information for money. We may “share” limited online identifiers with advertising or analytics partners to measure site performance and reach interested audiences. You can opt out (see Section 8) including via a Global Privacy Control signal where legally required.
Sensitive Personal Information: We do not use or disclose sensitive personal information (e.g., precise geolocation, government IDs) for purposes that require offering a “Limit Use” right under CPRA.
3) Information We Collect
- You provide: contact details, organization details, authentication credentials you choose to provide for integrations, content you upload or submit (e.g., prompts, data samples for automations, messages to support), and payment-related info processed by our payment processor.
- Automatic collection: device and usage data (IP address, browser type, operating system, pages viewed, links clicked, referring URL, timestamps), and cookie/SDK identifiers.
- From third parties: platform providers and partners when you connect or authorize an integration (e.g., CRM records or help-desk tickets required to run an automation you requested), public sources, anti-fraud vendors, and analytics providers.
We ask that you do not submit special-category/sensitive data (e.g., health/medical, biometric, financial account numbers, government IDs) unless required for a written, mutually executed data processing agreement (“DPA”) that specifies appropriate safeguards and lawful bases.
4) How We Use Information
- To operate, maintain, and improve the Services.
- To set up and administer your account, projects, and integrations.
- To provide support; respond to inquiries; send administrative notices.
- To analyze usage, develop new features, and enhance safety and security.
- To personalize content and measure marketing performance in accordance with your choices.
- To comply with law, enforce agreements, and protect rights, safety, and property.
AI/Automation Specific Uses: When you supply “User Content” to be processed by an automation (e.g., a workflow you configure), we use and process it only to provide and improve the requested workflow and related Services, troubleshoot, and ensure security/abuse prevention. Unless you separately opt in in writing, we do not permit third-party model providers to use your User Content or outputs to train their foundation models.
5) Cookies & Similar Technologies
We use:
- Strictly necessary cookies (security, core site functions).
- Functional/analytics (measure, diagnose, improve performance).
- Advertising/retargeting (if enabled, measure campaigns and reach similar audiences).
Your choices (see Section 8) include browser settings, consent banners (where applicable), and Global Privacy Control (GPC) signals.
6) How We Disclose Information
We may disclose information to:
- Service providers/contractors (hosting, infrastructure, analytics, email/SMS, payments, security, customer support) under contractual confidentiality and limited-use obligations.
- Affiliates for support consistent with this Policy.
- Business transfers (merger, acquisition, financing, or sale of assets).
- Legal/safety: to comply with law, lawful requests, or to protect rights, security, and property.
We do not allow service providers to use your personal information for their own marketing.
7) Third-Party Services & Integrations
If you connect third-party services (e.g., Google, Microsoft, Slack, HubSpot) to an automation, their use of your information is governed by their own terms and privacy policies. Review those policies before connecting. Where required (e.g., Google API Services), our use and transfer of data obtained from those APIs adheres to the provider’s applicable User Data Policy (including “Limited Use” restrictions).
8) Your Choices
- Marketing communications: opt out via email unsubscribe links or by contacting privacy@zenithsynapse.com.
- Cookies/Tracking: use our consent tools (where provided), adjust browser settings, and/or send a Global Privacy Control (GPC) signal; we treat GPC as an opt-out of “sharing” for cross-context behavioral advertising where required by law.
- Do Not Sell/Share (California and certain U.S. states): submit a request to privacy@zenithsynapse.com.
9) Your Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, port, opt out of targeted advertising, and appeal our decision.
- How to exercise: email privacy@zenithsynapse.com with “Privacy Request” and your state/country of residence. We will verify your request consistent with applicable law. You may designate an authorized agent as permitted by law.
- EEA/UK/Swiss users: We process your personal data where necessary for contract, legal compliance, our legitimate interests (e.g., security, service improvement, marketing to business contacts), or with consent where required. You may lodge a complaint with your local supervisory authority.
10) Data Retention
We retain personal information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, enforce agreements, and for legitimate business purposes. We apply defined retention periods for different data types and delete or de-identify information when no longer required.
11) Security
We implement administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is 100% secure. You are responsible for maintaining the confidentiality of any credentials used with our Services.
12) Children
Our Services are intended for business users and individuals 16+. We do not knowingly collect personal information from children under 16. If you believe a child provided personal information, contact us to delete it.
13) International Transfers
We may transfer, store, and process information in the United States and other countries with different data protection laws. Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses) for cross-border transfers.
14) Changes to This Policy
We may update this Policy from time to time. The “Effective date” will reflect the latest version. Material changes will be highlighted on the site or via direct notice where required. Your continued use after changes means you accept the updated Policy.
